Privacy Policy

Effective Date: January 15, 2025 | Last Updated: January 15, 2025

At Glowra-Volt, we handle your information with care. This policy explains what data we collect when you work with us, why we need it, and how we protect it. We're based in Thailand and follow local data protection regulations, but we've written everything here in plain English so you can actually understand what happens with your information.

Look, privacy policies can be tedious. But if your business runs on the servers and networks we help you set up, you deserve to know how we handle your data. We've tried to make this straightforward and honest.

Information We Collect

When you reach out to us or become a client, we collect specific information to provide our server and network setup services effectively. Here's what we typically gather and why we need it:

Business Contact Information

We collect your name, business name, email address, phone number, and business address. This is basic stuff we need to communicate with you, send proposals, and provide ongoing support. Without these details, we can't really do our job.

Technical and Infrastructure Details

To set up your servers and networks properly, we need information about your existing infrastructure, technical requirements, business operations, and any specific compliance needs you might have. This helps us design solutions that actually work for your situation rather than generic setups that might not fit.

Project Communication Records

We keep emails, meeting notes, project specifications, and support tickets. These records help us track what we've discussed, what solutions we've implemented, and what issues we've resolved. They're useful when team members change or when we need to reference past decisions.

Website Interaction Data

Our website collects basic information like your IP address, browser type, pages you visit, and how long you stay. This helps us understand how people use our site and where we might need to improve things. We use standard analytics tools, nothing invasive.

How We Use Your Information

We're not in the business of selling data or sending spam. Here's what we actually do with the information you share:

  • Provide server and network setup services based on your specific needs and infrastructure requirements
  • Communicate about projects, send updates, answer questions, and provide technical support when you need it
  • Send service-related notifications about maintenance, security updates, or issues that might affect your systems
  • Improve our services by analyzing which solutions work well and where we can do better
  • Maintain accurate records for billing, project documentation, and compliance with Thai business regulations
  • Occasionally share relevant information about our services if you've expressed interest, but you can opt out anytime

We don't sell your information to third parties. Period. That's not our business model, and frankly, it would be weird for an IT services company to do that.

Data Storage and Security

We store your data on secure servers located in Thailand. As people who set up servers for a living, we take data security seriously. Here's how we protect your information:

Technical Security Measures

We use encryption for data transmission and storage, implement access controls so only authorized team members can view client information, maintain regular backups, and monitor our systems for potential security issues. These aren't just things we say we do – they're the same practices we recommend to our clients.

Access Limitations

Only team members who need access to your information for specific project work can view it. We don't have a company policy of everyone accessing everything. Your account manager and technical team members working on your project will have access, but that's about it.

Third-Party Service Providers

We use some third-party tools for email communication, project management, and accounting. These providers are carefully selected and contractually obligated to protect your data. We don't share more information with them than necessary for the specific service they provide.

Data Type Storage Location Retention Period Access Level
Contact Information Thailand Servers Duration of relationship + 3 years Core team members
Project Documentation Thailand Servers Duration of relationship + 5 years Project team members
Communication Records Thailand Servers Duration of relationship + 2 years Relevant team members
Technical Specifications Thailand Servers Duration of relationship + 7 years Technical team only
Billing Information Thailand Servers As required by Thai tax law (7 years) Accounting team only

Your Rights and Control

Under Thai data protection regulations, you have specific rights regarding your personal information. We respect these rights and make it straightforward for you to exercise them:

Access Your Information

You can request a copy of the personal information we hold about you. We'll provide this in a readable format within 30 days. Just send us an email at info@glowra-volt.com with your request.

Correct Inaccurate Data

If any information we have about you is wrong or outdated, let us know and we'll update it. This is especially important for contact details and technical specifications that affect our service delivery.

Request Data Deletion

You can ask us to delete your personal information, though we may need to retain certain records for legal or legitimate business purposes. For example, we're required to keep billing records for seven years under Thai tax law. But beyond legal requirements, we'll remove your data when you ask.

Restrict Processing

You can ask us to limit how we use your information in certain situations. For instance, if you question the accuracy of your data, we can restrict processing while we verify things.

Data Portability

You can request your data in a format that allows you to transfer it to another service provider. We'll provide your information in common file formats like CSV or PDF.

Opt Out of Marketing

We might occasionally send you information about our services, but you can opt out anytime. Every marketing email includes an unsubscribe link, or you can email us directly. You'll still receive service-related communications about projects you're working on with us.

How to Exercise Your Rights:

Send an email to info@glowra-volt.com with your request. Include your name and contact information so we can verify your identity. We'll respond within 30 days. If your request is particularly complex, we might need an additional 30 days, but we'll let you know if that's the case.

Cookies and Tracking Technologies

Our website uses cookies and similar technologies. These are small files stored on your device that help the website function properly and give us insights into how people use our site.

Essential Cookies

These cookies are necessary for the website to work. They handle things like keeping you logged in if you have an account or remembering your privacy preferences. You can't really turn these off without breaking the site.

Analytics Cookies

We use analytics tools to understand how visitors interact with our website. This helps us see which pages are useful and which ones might need improvement. These cookies don't identify you personally – they just track general patterns.

Managing Cookies

Most browsers let you control cookies through their settings. You can block cookies entirely, though this might affect how our website functions. Your browser's help section should explain how to manage cookie preferences.

Data Retention

We don't keep your information forever. Here's our general approach to data retention:

  • Active client information is retained for the duration of our working relationship
  • After a project ends, we keep relevant documentation for three to seven years depending on the type of data
  • Financial records are retained for seven years as required by Thai tax regulations
  • Technical documentation is kept longer because it might be useful for future reference or similar projects
  • Communication records are typically kept for two years after the last interaction
  • Website analytics data is retained for two years to track trends over time

When retention periods expire, we securely delete the information. This means overwriting data rather than just moving it to a trash folder.

International Data Transfers

We primarily store data on servers located in Thailand. However, some of our third-party service providers might process data outside Thailand. When this happens, we ensure these providers maintain adequate data protection standards.

If you're located outside Thailand and contact us, your information will be transferred to Thailand where our business operates. By working with us, you're agreeing to this transfer. We'll handle your data according to this privacy policy regardless of where you're located.

For clients with specific data residency requirements, we can discuss solutions that keep your data within particular geographic boundaries. This might affect service options and pricing, but it's definitely something we can work out.

Children's Privacy

Our services are intended for businesses. We don't knowingly collect information from individuals under 18 years old. If you're under 18, please don't submit any personal information through our website or services.

If we discover that we've inadvertently collected information from someone under 18, we'll delete it promptly. If you believe we might have information from a minor, please contact us at info@glowra-volt.com.

Changes to This Policy

We might update this privacy policy occasionally to reflect changes in our practices, services, or legal requirements. When we make significant changes, we'll notify you by email if you're a current client or post a notice on our website.

The "Last Updated" date at the top of this policy shows when we last revised it. We recommend checking back periodically if you want to stay informed about how we protect your information.

If you continue using our services after we post changes, that indicates you accept the updated policy. If you disagree with changes, you can stop using our services and request that we delete your information (subject to legal retention requirements).

Legal Compliance and Disclosure

There are situations where we might need to disclose your information beyond normal business operations:

  • When required by Thai law, legal processes, or government requests
  • To protect our legal rights or defend against legal claims
  • To prevent fraud or security threats to our systems or services
  • To protect the safety and security of our employees, clients, or others
  • In connection with a business transaction like a merger, acquisition, or sale of assets

In these situations, we'll limit disclosure to what's necessary and appropriate. If legally permitted, we'll notify you before disclosing your information in response to legal requests.
